Note: Only users with role based access will be able to see the ‘Patient Registration’ button.

From any screen, click ‘Patient Registration’.

The registration screen will be displayed. You can either scan a QR code to find the patient or free type the NHS number.

If you do not have an NHS number, click the toggle to search the PDS using the patients demographics, completing all of the mandatory fields:

  • Family Name
  • Date of Birth

If more than one patient is identified based on the search criteria, you will be prompted to refine the search. Please enter as much information as you can, to ensure that the correct patient record is returned or narrow down your search.

Clicking ‘Search on PDS’ will automatically prompt a local search before a PDS search.

This means the search will check whether this patient has a record at your vaccination site first. If not, it will then look to PDS to pull the patient record so that you can proceed to create the patient at this practice, pulling with the patient any information on demographics or from NIMS (including prior vaccination encounters at any other site).

If a record already exists for the patient in your system, a prompt appears informing you that this patient already exists in your practice. If correct, select “yes” to proceed to access their record.

If the patient doesn’t already have a record in your system, the search continues automatically on PDS and will prompt you to “Create Patient” to register the patient.

The new record for the patient will then be displayed and you can either begin to record a ‘new vaccination encounter’ (please see screening & consent for further details) or you can return to ‘Patient Search’ in the navigation pane on the left to find another patient or ‘Patient Registration’ to register another patient.
