We have a proven track record with 30 years of history delivering medical records software to the NHS, but have also recently decided to take the bold decision to shed our legacy tech and start afresh. Our product eVacc, a COVID and Flu vaccination point-of-care solution, is our first module on the new AWS platform. It was the first to be assured by the NHS and is used by vaccination centres and GP surgeries across the country. This puts us on an exciting growth trajectory with lots of opportunities to shape the future of the company.

Job brief

We are looking for an enthusiastic and passionate Head of Operations who can embrace the pace of change and growth we are seeking. You will:

  • Lead our Operations function
  • Manage daily activities across Customer support/ success, Customer implementations and Training, and lead on escalations of Customer issues. As well as delegating and managing your team, you will get hands on as and when needed. This may be out of hours, or over the weekend, but hopefully that’s a rarity.
  • Ensure regulatory and SLA compliance in relation to our contractual obligations to our customers
  • Head up our HR function for our staff and recruitment of new talent
  • Work closely with our external Accountants, keeping track of our budgets, authorising spend and ensuring invoicing processes are accurate and timely
  • Be responsible for managing our internal systems and IT equipment
  • Support the CEO to ensure the company is ‘well-led’, assisting with HR and Health and Safety compliance for example

You will be a key member of the Management Team and will be collaborating with other senior management to formulate strategy and ensure effective leadership of the Company. You will also work closely with the CEO on lots of matters relating to the running of the business. You will have a team of 4 with potential to grow the team as the business needs grow.

You should be a responsible leader that can anticipate issues and think two steps ahead. You may have lots of experience, or you may be unfazed by new things, either way, you are a safe pair of hands in a professional environment. Ideally you’ll have a broad knowledge of how businesses operate, with experience in running a budget and/ or HR processes.

Overall, you’ll ensure our operations run smoothly, that our Customers are happy, and that our people are happy, productive and feel supported. We’re a dynamic and fast growing company and as we scale, this role will enormously contribute to building a productive and positive culture for a business that is trying to make a real difference to our nation’s health.

Requirements/ attributes

The right attitude will take you far in this role. You are pragmatic, excellent at problem solving and have a positive ‘can do’ attitude. You have good intuition for things that should worry you. You will be able to shift your focus to suit the needs of the business. You will take the initiative, make lots of well considered decisions and work well with managers across the business.

You will need to be:

  • Passionate and motivated to do your best
  • Experienced as GP Practice Manager, Assistant GP Practice Manager, Assistant Head of Operations, Operations Director / Manager or similar leadership role with a strong customer service ethos
  • Familiar with business functions including HR, accounting and IT (please note: we have an external Accountant who handles all the technical work, and an HR Advisor on back-up for any tricky issues)
  • Comfortable with numbers and able to use a spreadsheet
  • Great with communication and customer handling skills
  • Experienced in line management

Package: Salary: £60,000 per annum.
